Fair questions
Before you ask
Is our business data used to train AI models?
No. We set this up on business-tier OpenAI or Anthropic accounts where training on your data is off, in your own organisation’s name. Your documents stay in your storage; the AI reads them at question time. This is exactly the kind of detail a proper setup gets right and a shared ChatGPT login gets wrong.
What about hallucinations?
Answers are grounded in your actual documents and records, and they cite their sources - so anyone can click through and verify. Where the system isn’t confident, it says so rather than improvising. And anything that acts (sending, ordering, changing records) sits behind human approval until it has earned autonomy.
Which tools does it work with?
The usual Australian SME stack: Gmail or Outlook, Google Drive or SharePoint, Xero or MYOB, Shopify or Magento, and most CRMs and job systems. If a tool has an export or an API, it can join. The audit maps exactly what you have.
What does it cost to run?
A setup project quoted fixed-price from the audit, then a modest monthly arrangement for tuning and expansion. The AI usage itself is billed at cost inside your own account - for most SMEs it’s tens of dollars a month, not thousands.
Do we have to change how we work?
No - that’s the point. Your tools stay; the layer sits above them. The only change is that questions get asked once, in one place, instead of interrupting whoever knows.
